The Collibra Data Governance Solution for GDPR helps organizations speed time to compliance through delivery of an extended data governance operating model tailored for the GDPR. Asset Change Management:

  • Core Business Problem Addressed: GDPR (specifically article 30) requires you to create a registry of how personal data is used throughout your organization
  • Creating and maintaining the registry requires collaboration – any changes to the way personal data is managed requires you to ensure the GDPR documentation is up to date and that other relevant teams are aware of the change so they can investigate whether they need to take action
  • Without end-to-end visibility, change management becomes either painfully slow (because it’s so hard to get the approvals to change anything manually) or potentially risky (because processes are changing and teams impacted by the change that have no idea)
  • How we address it: After the previous release, which focussed on creating a framework for entering the process register data in a standardized way, the focus now shifted to keeping the documented information up-to-date.
  • This helps companies build with a ‘Privacy by Design’ philosophy – baking a focus on privacy into everything they do without losing the ability to be agile through painfully slow approval processes
  • This feature is referred to as ‘Asset Change Management’
  • Asset Change Management provides functionality for internal stakeholders to request a review and allows Business Stewards and Owners to collaborate in order to keep the information up-to-date. In order to do this, tasks that guide the users through the process of updating the data will be created within Collibra.
  • Log and display asset changes
    • Changes and decisions made in the asset change management process are logged on the associated review request
    • This improves the visibility and accountability of changes in DGC.

Improving the Standardized Workflow Framework:

  • By applying the standardized onboarding workflows to Technology Assets, Data Sharing Agreements, Risks, and Remediation Plans and Remediation Actions, you can improve the governance and predictability of onboarding these assets
  • Improved the onboarding workflow to address prior click paths that sometimes resulted in users exiting the onboarding flow prior to completion
    • Now, if an owner or steward doesn’t approve a change, the asset no longer gets ‘Rejected’, but the business steward is requested to update the asset.

Improved UX of Compliance Self Assessment (CSA):

  • Allow the business steward to go to a specific section of the CSA
  • Give an overview of the progress of the CSA to the Business Steward that has to complete it
  • See how many questions have been answered and what is the intermediate score

Deprecated Functionality:

  • We removed the workflow ‘GDPR – Data Classification’ from the installation package. This means that new customers will not have any dependencies on Catalog anymore. As a result, there will only be one GDPR package as of GDPR V5.
  • All update workflows have been deprecated as they are abundant in the new structure.
  • We removed the old ‘Risk Mapping’ workflow, as it was replaced by the standardized ‘Risk asset onboarding’. The same counts for the old ‘Remediation Action’ and ‘Remediation Plan’ workflows.
